Custom HubSpot and ServiceM8 Integration: How We Improved TreeKing’s Workflow

Background

TreeKing is a leading arborist company in New Zealand, offering expert tree management services. As they expanded, TreeKing identified the need for a more efficient and integrated system to manage their sales and job processes. They reached out to T&H Digital to develop a tailored solution leveraging our expertise in CRM systems and digital integrations.

Challenge

Before partnering with us, TreeKing relied on both HubSpot for their CRM and ServiceM8 for job management, but the two systems operated separately. This caused several issues:

  • Manual Data Entry
    TreeKing’s team had to manually input client information and job details into both HubSpot and ServiceM8. This not only consumed valuable time but also increased the risk of human errors, leading to inconsistencies and potential data inaccuracies.

  • Siloed Systems
    Without a direct connection between HubSpot and ServiceM8, data remained isolated in each system. This lack of integration made it challenging to track job progress, coordinate effectively between teams, and generate accurate reporting.

  • Lack of Cohesion
    The absence of communication between the CRM and job management software meant that information flow between the sales team and agents on the ground was not streamlined, causing delays and miscommunication.

The Solution

We developed a custom integration between HubSpot and ServiceM8, leveraging our pre-existing integration published on the HubSpot marketplace. By tailoring this solution to TreeKing’s specific needs, we created a seamless link between their CRM and job management systems.

Automated Job Creation

HubSpot deals automatically create jobs in ServiceM8 once a quote is accepted, including all job-specific details.

Real-Time Data Sync

Quotes created in HubSpot are now directly reflected as line items in jobs within ServiceM8. Similarly, contacts from HubSpot are added as job and billing contacts in ServiceM8.

Job Status Tracking

Job statuses from ServiceM8 are sent back to HubSpot in real-time, updating deals and pipelines to provide an accurate overview of job progress.

Unified Source of Truth

HubSpot now serves as the central source of truth for all sales and job-related data, ensuring consistency and accessibility across teams.

Comprehensive Reporting

Accurate dashboards using data from both HubSpot and ServiceM8 allow TreeKing to monitor performance and make informed business decisions.
